Title: Office Assistant

Location: Texas (remote worker/flexible)

The Office Assistant role is needed to help keep track and take care of administrative tasks, such as calendar management, general organization, billing and account payables. The office assistant will need the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

General across all areas

  • Make appropriate, informed decisions regarding priorities and available time

Administrative Duties

  • Manage calendar for the CEO in order to help her prioritize day-to-day engagements
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature
  • Work closely with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Have a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate the CEO's needs in advance of meetings, conferences, etc.
  • Attend all team status meetings and assist with staff meetings and events as needed
  • Work with the core team to coordinate the CEO’s new business activities. Follow up on contacts made by the CEO to cultivate ongoing relationships 
  •  Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company

Billing & Account Payables

  • Maintain organization of billing and account payable documentation
  • Assist CEO with accounts payable activities: entering bills, approving invoices, keeping track of invoice and billing schedules
  • Work with project coordinator and/or senior team to create invoices based on approved scopes

Qualifications:

  • 3-5 years experience in a similar role
  • Strong ability to execute work with a diversity, equity, and inclusion lens
  • Proficiency with Microsoft Office, Google Drive, GMail, Google Calendar

  • Exceptional organizational skills and impeccable attention to detail

This role will be very involved in the day-to-day process of the accounts we service.

  • Approximately 10+ years in Account Management at an Advertising Agency
  • Immense knowledge of the Advertising Account Management process - ability to jump in and hit the ground running
  • Maturity and strength under pressure

Strategic Planning

  • Ensure the direction and ideas being pursued by strategic planning support the clients overall marketing/business objectives
  • Use strategic planning to expand clients thinking
  • Enlist the planner to help secure greater business opportunities for the account and agency
  • Work with strategy team to develop the most effective presentation for selling creative ideas and to develop and implement means to track and measure ROI specific to each account

Creative Development, Presentation and Production

  • Oversee creative development and shepherd projects through daily details
  • Partner with the Brand Design team to strategize the presentation and sell-in of campaigns
  • Champion the expansion of an idea or concept through various mediums and agency business units
  • Upon approval of advertising/campaign concepts, work with production departments in the general areas of schedule, bidding, estimate preparation and approval, pre and post production
  • Ensure that the client and agency are protected vis- -vis legal, network clearance, talent negotiations and payments, rights and usage of materials

Media

  • Work with the Media Supervisor to insure that a strong media strategy has been developed and assist them in getting timely approval of media plans

Financial Management

  • Develop project quotes and scopes of work
  • Partner with CEO/COO to ensure your account is on budget and remains profitable, ideally growing in revenue
  • Work with Brand Coordinator to create invoices
  • Supervise invoices based on approved deliverables and scopes of work/project quotes
